This policy explains what personal information Perfection Jewellery Ltd collects when you deal with us, how we use it and the choices you have.

1. Who we are

Perfection Jewellery Ltd ("we", "us", "our") is the controller of the personal information described in this policy. We are registered in England and Wales under company number 0648055, with our registered office at Gable House, 239 Regents Park Road, London N3 3LF, United Kingdom. This policy covers our website (perfectionjewellery.com), our online trade portal, orders placed through our sales representatives, and orders we fulfil for online marketplaces.

2. Information we collect

We collect the information you give us and the information generated when you deal with us:

  • Account and contact details: your name, business name and trade account code, the names and roles of the people we deal with at each of your shops, email addresses, telephone and mobile numbers and, for portal users, the password you choose (stored only in protected form).
  • Order and payment information: the items you order or take on approval, your invoices, credit notes, statements, payment history and delivery addresses. When you pay by card, the card details are entered into and held by our payment service provider; we receive only a confirmation, the card type and the last four digits.
  • Messages: emails, WhatsApp messages and telephone calls between you and us about your orders and account, and the delivery and read receipts that come back from the mail and messaging services.
  • Portal activity: when you sign in, what you view and order in the portal, and basic technical data (such as your IP address and browser) needed to keep the portal secure and working.
  • Public information: details published about your business at Companies House, which we may look at when opening or reviewing a trade account.

3. How we use it

We use your information to:

  • set up and run your account, and check who you are when you sign in or ask us to change something;
  • process, make, deliver and invoice your orders, and send you order, dispatch, delivery, invoice, credit note, appro, statement and payment confirmations by email or WhatsApp, to the contacts you have asked us to use for each shop;
  • take payments securely, issue refunds and keep our accounts;
  • answer your enquiries and provide customer support;
  • keep our website, portal and systems secure and prevent fraud (for example, the bot check on our website sign-in);
  • tell you about our new designs, trade shows and offers by email, where you have not asked us not to (you can unsubscribe at any time using the link in the email or by contacting us); and
  • meet our legal obligations, including tax, accounting, hallmarking, sanctions and anti-money-laundering rules that apply to dealers in precious metals and stones.

Our lawful bases are the performance of our contract with you, our legitimate interests in running, protecting and promoting our business to our trade customers, and compliance with our legal obligations. We do not make automated decisions about you, we do not use your personal information to train artificial-intelligence systems, and we do not sell it.

4. Who we share it with

We share personal information only where needed to run our business, with providers who act on our instructions under contract:

  • Payment: our card payment provider and acquiring bank (currently Opayo by Elavon, and Lloyds Cardnet once live) process card payments and refunds. Card details go directly to them and never touch our systems.
  • Delivery: Royal Mail, FedEx, Parcel2Go and the shipping platforms we book labels through (such as ShipEngine) receive the delivery name, address, telephone number and email needed to deliver and track your parcel.
  • Messaging and email: Amazon Web Services (Simple Email Service) sends our emails, and Meta Platforms (the WhatsApp Business Platform) carries our WhatsApp messages. Cloudflare provides the bot check on our website sign-in.
  • Business systems: Odoo (invoicing and stock), Xero (accounts), Google Workspace (working records) and Apple (notifications to our own staff devices) hold order, invoice and account records on our behalf.
  • Address lookup: when we type a UK address into our systems, Loqate (the Royal Mail AddressNow service) returns the full address; nothing else about you is sent to them.
  • Marketplaces: where an order reaches us through an online marketplace, we exchange the order and delivery details that marketplace requires to fulfil it.
  • Our professional advisers, and regulators or law enforcement where the law requires it.

5. Where your information is held

Our website, portal, databases, backups and email service run on Amazon Web Services in the London (eu-west-2) region, in the United Kingdom. Some of the providers listed above process data outside the UK, notably in the United States (for example Meta for WhatsApp, and parts of Xero, Google, Stripe and ShipEngine). Where that happens we rely on the UK International Data Transfer Agreement or Addendum, or on a UK adequacy decision, so that your information stays protected to UK standards.

6. Cookies

Our website and portal use a small number of strictly necessary cookies to keep you signed in, remember your session and protect sign-in against automated abuse. We do not use advertising or third-party tracking cookies.

7. How long we keep it

We keep your information for as long as you have an account or a business relationship with us, and afterwards for as long as we need it to meet our legal, tax and accounting obligations (normally six years from the end of the relevant financial year). Records of what we sent you, and the messages between us, are kept for the same period so that we can answer questions about your orders. Payment records are kept for the period required by law and by card scheme rules. When information is no longer needed we securely delete or anonymise it.

8. Security

We protect your information with encrypted connections, access limited to the members of our team who need it, sign-in protected by passwords or passkeys, and regular encrypted backups. Card payments are handled by a PCI DSS certified payment provider; full card numbers are never stored on our systems.

9. Your rights

You have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to restrict or object to certain processing (including marketing), and to receive it in a portable format. To exercise any of these rights contact us at info@perfectionjewellery.com. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

We may update this policy from time to time. Changes are posted on this page with a new "last updated" date.
